Q.Why should I verify an employee’s social security number?

A.Correct names and social security numbers (SSNs) on W-2 wage reports are key to the successful processing of your annual wage report submission. Not only can you be subject to penalties if an employee’s name fails to match the purported SSN, but you may also be responsible for additional proceesing costs incurred as a result of the unmatched wage reports or any earnings that failed to post to your employees' records. The Social Security Office offers employers a convenient method to verify up to 5 employee SSNs.

To verify up to 5 names and SSNs, you can call the Social Security Office’s toll-free number for employers (1-800-772-6270) weekdays from 7:00 a.m. to 7:00 p.m. E.S.T. You will be asked for your company name and EIN. Be prepared to provide the following information about each employee: (a) the SSN; (b) first and last name, and any middle initial; (c) date of birth, and (d) gender.
